What to verify before you sign

Diligence on flexible workspace is quick - a visit and a few questions. Skipping it is what turns a good rate into a bad year.

Verify the space

  • Visit mid-week, mid-afternoon, when the floor is fullest
  • Run a speed test on the network members actually use
  • Sit in the exact seats or cabin being licensed, not a show unit
  • Check noise from the pantry, the lifts, and the nearest phone booth
  • Confirm meeting room availability at the times you would need one

Verify the operator

Ask how long they have run this centre, whether they own or lease the floor, and how support requests are raised and tracked. Speak to a member on the floor if you can - five minutes there is worth more than any brochure.

Check the building

Confirm power backup covers the whole floor and not just the lights, check the lift count against the number of people in the building, and look for working fire exits, extinguishers and signage. Ask when the last fire drill was.

Check the numbers

Reconcile the quote against the agreement line by line before signing. Confirm the invoicing entity, the payment schedule, the GST treatment and the deposit refund terms. A mismatch between quote and agreement is the most common reason a first invoice is disputed.

Keep the record

Keep the signed agreement, the quote it came from, photographs from handover, the deposit receipt and every invoice in one place. Exit conversations go quickly when both sides can see the same documents.
